Describe the receiving point, not just the postcode

Provide the full address, postcode, site or workshop name and an accurate location pin if useful. Explain whether the vehicle must stop at a gate, enter a compound or reach a particular unloading bay. Identify the receiving contact and a working phone number.

Tell the supplier about any known entry restrictions, time windows or permit arrangements imposed by the receiving premises. Ask the supplier and transporter to confirm feasibility; this checklist does not state local road or vehicle-access rules.

Identify the material's handling needs

Include the longest piece length, approximate order scope and whether the delivery contains sheets, beams, bundled pipes or smaller parts. Different shapes need different receiving arrangements. Let the transporter confirm the vehicle and load configuration rather than selecting one from a guess.

Long steel pieces may need a clear receiving area. The site's competent team should assess safe unloading space and equipment suitability. Do not improvise a lifting method from a purchasing checklist or assume people can manually unload any supplied piece.

Agree who handles unloading

State who will provide unloading equipment, competent personnel and any site supervision required. Confirm whether the delivery quotation includes unloading or only transport to the agreed receiving point. Equipment availability and its operator should be checked before the date is confirmed.

Also ask how waiting time or a failed receiving arrangement will be handled commercially. Record any agreed charges or exclusions so a delay does not become an unexpected argument between the driver, site team and buyer.

Plan weather and material protection
